VR escape room games are designed for teams of 2-6 people. The minimum participation requirement is 2 people; however, we can accommodate larger groups with notice. Larger groups may need to be split into smaller teams run back to back to ensure an optimal gameplay experience.

Use of Company Logos
The logos displayed on the website belong to the company. Unauthorized use without written consent may constitute an infringement of proprietary rights. Such use may result in legal action.

Data Storage and Privacy

AGE RESTRICTIONS
Our VR Escape games are designed for participants aged 10 and above, when accompanied by adults. For supervised groups the age limit is 12 years and above. Those under 16 must have an adult present in the room (not necessarily participating). Participants under 16 must not be left unsupervised.

PREGNANCY
VR experiences involve movement that may lead to bumps or falls. Pregnant individuals should not participate due to the potential risks associated with movement in the physical space. If you are pregnant or concerned about safety, we advise against taking part.

DISABILITIES AND MEDICAL CONDITIONS
If you or a member of your group has a medical condition or disability that may impact participation, please notify us before booking. We may request further details or a doctor’s note confirming fitness to participate. If we cannot properly accommodate your needs, we reserve the right to deny participation for safety reasons.

VIRTUAL REALITY AND GLASSES WEARERS
Most glasses fit comfortably within the headset. However, larger frames may not. Contact lenses are recommended for better comfort. By booking, you acknowledge that if you cannot use the required equipment, no refund will be provided.

BOOKINGS

Clear Pricing Information
The game price is clearly stated on the website’s booking section. Prices are determined based on the number of participants and the chosen time slot during the week.

Non-Refundable Bookings
Once a booking is confirmed, we cannot accept cancellations or provide refunds for this live event game. This policy ensures that our limited spots are filled and managed efficiently.

Booking Confirmation Process
Your booking is confirmed upon full payment and receipt of our booking confirmation email. If you believe any information in the confirmation email is incorrect, notify us immediately.

Late Arrival Policy
If your team is late by 15 minutes or more, we reserve the right to mark the booking as a no-show and decline entry (non-refundable). Timeliness is crucial to ensure a smooth operation and experience for all guests. If you are late, we may adjust your game duration or, at our discretion, shift your game start time.

Non-Commercial Resale Restriction
Bookings cannot be transferred, resold for commercial purposes, or at a premium. Unauthorized transfers may lead to cancellation without refund.

Accessibility and Mobility Issues
Inform us of any mobility or accessibility issues during booking to ensure a worry-free experience. We aim to accommodate all guests to the best of our ability.

Suspicious Booking Cancellation
We reserve the right to cancel suspicious bookings. If we do so, you will receive a full refund and an explanation.

GIFT VOUCHERS

Validity and Redemption
Gift vouchers are valid upon completed payment and receipt of an email confirmation. Vouchers are valid for 6 months from the date of purchase unless otherwise specified. To redeem a voucher, enter the voucher code at checkout.

Non-Refundable Nature
Gift vouchers are non-refundable and hold no cash value. They are intended solely for use in booking our experiences.

Team Size Adjustments
If you want to bring a larger team than the voucher covers, select the desired team size during booking. Note that no refund is provided for smaller teams.

PHOTOS

End of Game Photos and Sharing
At the end of the game, photos will be taken of each team as a memorable keepsake of your experience. These photos will be watermarked, stored on our server, and linked to your booking. The gallery URL will be sent via email to the person who made the booking. Photos may also be uploaded to social media or used for marketing purposes without names to protect your privacy.

Photo Removal Request
If you want to remove your photos from the private gallery, notify us by sending the URL to VR@cybescape.co.uk. We will promptly take action to remove your images.

CANCELLATION AND RESCHEDULING POLICY

  2. Refund Policy for Cancellations
    Unfortunately, we do not offer refunds for cancellations. This policy ensures that our limited availability is utilized effectively.

  3. Rescheduling with Notice
    You can reschedule your booking with more than 48 hours’ notice. No fees apply for rescheduling, allowing flexibility for your plans.

  4. Cancellation within 48 Hours
    If your booking is within 48 hours from the time of reservation or if you provide less than 48 hours’ notice for a future booking, cancellation or rescheduling is not possible. This policy ensures fair management of our schedule.

  5. Company-Initiated Cancellations
    If we need to cancel or reschedule your booking, we’ll make reasonable efforts to notify you. You’ll receive a 100% refund without a cancellation fee or an alternative booking date. We strive to accommodate your needs in such instances.

  6. User Responsibility for Booking Changes
    While we strive to inform you of changes, we cannot guarantee direct communication. It’s your responsibility to verify if your booking has been altered. We’ll also post any updates on our website’s home page for your convenience.

    We reserve the right to refuse entry if you appear unfit for the forthcoming experience or are under the influence of alcohol or other substances. This policy maintains a safe and enjoyable environment for all participants.

  4. Player Count Adjustments

    • If you bring fewer players than booked, the price difference will not be refunded. Plan your group size carefully to avoid any inconvenience.

    • If you bring more players than booked, the price difference can be settled upon arrival. Ensure all additional players are aware of and agree to the terms and conditions.

  5. Responsibility for Additional Players
    The person who made the booking is responsible for ensuring that additional players agree to the Terms and Conditions and receive relevant information. This ensures that all participants are well-informed.

  6. Early Arrival Recommendation
    Arrive up to 15 minutes early to maximize your experience. Late arrivals may result in a shorter game to avoid overlapping with the next booking. Punctuality is key to a smooth and enjoyable experience.

THE EXPERIENCE

  1. Follow Instructions
    You and your team must listen to and follow instructions from our Game Masters throughout the experience. These instructions cover the agenda, escape game rules, and health and safety guidelines. Failure to comply may result in ejection from the venue without a refund.

  2. Substance Influence Policy
    Participants found under the influence of alcohol or other substances will be ejected from the venue without a refund. This ensures a safe environment for all players.

  3. CCTV Recording and Ownership
    We may record your experience on CCTV for safety and operational purposes. All recordings remain our property. These recordings help us monitor and improve our services.

  4. Intellectual Property Protection
    Copying or using any of our puzzles or game materials is strictly prohibited. Violators will be prosecuted to the fullest extent of the law. Our intellectual property is protected to maintain the integrity of the experience.

SAFETY

  1. Personal Items and Responsibility
    Leave personal items like phones, wallets, and bags in the provided lockers to avoid distraction and ensure a safe environment. The company is not responsible for lost or stolen items.

  2. No Harassment Policy
    Verbal or physical harassment will not be tolerated and will result in immediate ejection without a refund.

By making a booking, entering our venue, or participating in any of our experiences, you agree to comply with and be bound by the terms and conditions outlined above. If you do not agree to these terms, you should refrain from using the services provided by the company.

GOVERNING LAW

These terms and conditions are governed by and construed in accordance with the laws of England and Wales. Any disputes arising from these terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.
